Maximize Your Communications

The method of delivery matters
1) A written letter sent by mail is the most effective method to get your message noticed.
A faxed letter is next in effectiveness. (This isn't to say that your Representative will personally read your written letter, but at least they have a hard copy to refer to.)

2) Phone calls are the next most effective. The operator will note your opinion, but of course will not transcribe every word you say.

3) E-mail may be good for urgent cases, but it is the least likely to be noticed. Something about e-mails: it's so easy to ignore them.

Who you are matters
1) If you are a constituent make sure to say so. Your return address may suffice.

2) If you are not a constituent, include why the issue is important to you. Perhaps you are a former contituent or have family who are constituents or it's simply that you think your concerns are matter of national importance.

3) If you are writing the media, make sure they have a way to contact you by phone so they can verify your letter.

Make it Personal
Personalize your communication as much as you can. If you have time, do some re-writing, don't just rubber-stamp someone else's letter. On the other hand, using someone else's letter is better than doing noting at all.

Stay on Topic
No one likes to read a long rambling letter or even a short angry one. Stick to the facts, if possible refer to pending legislation and state why your views on the issue should be considered. Even if you are very angry, try to keep it polite.

E-mail only: Some public offices require you to select one of their topics for your e-mail to be delivered. If you look up your representatives using CapWiz, the information retrieved will include a list of their topics. Include this this information in your e-mail.

In order to make your activism more effective, we've consolidated the action pages of many groups. These groups offer sample letters on important issues and ways to edit, address and send your letters.

Many of these action centers offer only an e-mail delivery system. Since e-mail is usually less effective than written communication, we suggest you use these action centers to get letter ideas and addresses and then cut and paste the text into your favorite word processor, for editing, printing and delivery.
